Terms of Service

These are the terms that apply when you or your workshop use the StockTrack app or website. We've tried to keep it readable. If anything's unclear, email info@stocktrack.work and we'll explain.

The short version: Use StockTrack to manage stock alerts for your workshop. Don't abuse it, don't share your account, and don't try to break it. You own your data — we just look after it. We can change the service and these terms, but we'll tell you when we do. England & Wales law applies.

1. About these terms

These terms form a binding agreement between you ("you", "your") and StockTrack ("StockTrack", "we", "us", "our"). By creating an account, signing in, or otherwise using the StockTrack app or website, you agree to these terms.

If you are using StockTrack on behalf of a workshop or business, you confirm you have the authority to accept these terms on its behalf, and "you" includes that business.

2. About StockTrack

StockTrack is a stock-alert app for workshops and garages. Team members scan a QR code on a shelf, tap "Low" or "Out", and the right person on the team receives a push notification. The service includes the StockTrack mobile app (iOS and Android), the back-end that supports it, and the website at stocktrack.work.

StockTrack is not a full inventory system, a parts catalogue, a supplier integration, or accounting software. We say this clearly on the website. If you need any of those things, use them alongside StockTrack.

3. Your account

Eligibility

You must be at least 16 years old and capable of entering into a binding contract under the law of England & Wales to use StockTrack.

One account per person

Each individual using StockTrack needs their own account. Don't share sign-in credentials with colleagues — a shared account breaks the audit trail of who raised which alert, which is one of the reasons your workshop bought the tool.

Keep your details accurate

You agree to give us accurate information when you sign up and to keep it up to date (e.g. your email, if it changes).

You're responsible for your account

You're responsible for anything that happens under your account. Keep your password secure. If you think someone else is using your account, email us immediately at info@stocktrack.work.

Roles inside a workshop

Workshop admins can invite team members, change roles, and deactivate accounts inside their workshop. By accepting an invite to a workshop, you accept that the admin can see your activity inside that workshop (alerts raised, alerts resolved, etc.).

4. Acceptable use

When using StockTrack, you agree not to:

  • Use it for anything illegal, fraudulent, or harmful.
  • Upload content that infringes someone else's rights, contains malware, or that you don't have the right to upload.
  • Upload photos of people without their consent, or any content unrelated to managing your workshop stock.
  • Try to access another workshop's data, reverse-engineer the app, or probe the service for vulnerabilities without our written permission.
  • Use automated means (bots, scrapers) to interact with the service in ways that disrupt it or aren't its intended use.
  • Resell, sublicense, or white-label StockTrack without a written agreement with us.
  • Use StockTrack to send anyone unsolicited messages.

5. The trial

We currently offer StockTrack to selected workshops on a free trial basis. The trial:

  • Is free for an agreed period (typically 14 days, but we may extend it).
  • Includes the full app and personal onboarding.
  • Requires no credit card and will not auto-charge.
  • Can be cancelled at any time by emailing us — there's nothing to cancel financially, we'll just close your account.

At the end of the trial we may invite you to start a paid subscription. You're under no obligation to do so. If you don't, your account will be deactivated and (after a short grace period) your data deleted in line with our privacy policy.

6. Paid subscriptions

These terms apply once you start a paid StockTrack subscription. Where there's any conflict between these terms and a signed order form or quotation we've given you, the order form wins.

Fees

Fees are quoted per workshop and per month. Exact pricing is confirmed in writing before any subscription starts. We may change pricing for future renewals with at least 30 days' notice; your current term's pricing won't change underneath you.

Billing and payment

Subscriptions are billed monthly in advance unless we agree otherwise in writing. Invoices are due within 14 days of the invoice date. We may suspend access to the service if an invoice is more than 30 days overdue, after giving you reasonable notice.

Taxes

Fees exclude VAT and other applicable taxes unless stated. Where VAT applies, it'll be added to your invoice at the prevailing rate.

Cancellation

You can cancel a monthly subscription at any time by emailing info@stocktrack.work. Cancellation takes effect at the end of the current billing month. We don't pro-rate refunds for partial months, but we also don't lock you in: no annual contracts, no exit fees.

7. Your data

You own your data. We don't claim any rights to your workshop's stock list, alerts, photos, or team list beyond what's needed to run the service for you.

We process your personal data in line with our privacy policy, which is part of these terms by reference.

On request — or automatically, when you close your account — we will delete your workshop's data. See the privacy policy for timing and detail.

8. Our intellectual property

The StockTrack app, website, branding, code, and content are owned by StockTrack and protected by intellectual-property laws. We grant you a limited, non-exclusive, non-transferable licence to use the app and website for your workshop's internal stock management for the duration of your trial or subscription. You don't acquire any other rights.

If you give us feedback or suggestions, we may use them to improve the product without owing you anything for it.

9. Third-party services

The StockTrack app is distributed through Apple's App Store and Google's Play Store, and runs on top of Google's Firebase platform. Your use of those platforms is also subject to their terms — we can't change those. If a third-party platform stops providing a service we depend on, the StockTrack service may be affected.

10. Availability and changes to the service

We aim to keep StockTrack available all the time, but we don't guarantee uninterrupted access. We may need to do maintenance, fix bugs, or roll out new versions. Where we can, we'll do this outside UK working hours and give notice. Push notifications rely on Apple and Google's networks and your device being online — we can't guarantee delivery time of any individual alert.

We may change, add, or remove features. We won't remove or materially degrade a core feature you rely on without telling you first.

11. Limitation of liability

StockTrack is a tool to help your team remember to order stock. It is not a guarantee that you will never run out of anything. You remain responsible for your workshop's stock and ordering decisions.

To the maximum extent allowed by law:

  • The service is provided "as is" and "as available". We don't make any warranties beyond those that can't be excluded under English law.
  • We're not liable for any indirect, consequential, or special losses (including loss of profits, loss of business opportunity, loss of goodwill, loss of data beyond what we caused).
  • Our total liability to you in any 12-month period is limited to the fees you paid us in that period. If you're a free-trial customer, it's limited to £100.

Nothing in these terms limits liability for fraud, death or personal injury caused by our negligence, or anything else that can't be excluded under English law.

12. Indemnity

You agree to indemnify us against any third-party claim arising from your misuse of the service, your breach of these terms, or your unlawful use of content you upload.

13. Suspension and termination

We may suspend or terminate your account if you breach these terms, use the service in a way that puts other workshops at risk, or have an unpaid invoice that's significantly overdue. We will tell you why and, where possible, give you a chance to fix the issue first.

You can stop using the service or close your account at any time by emailing us. On termination, your workshop's data is deleted in line with the privacy policy.

Sections that by their nature should continue after termination (e.g. ownership, liability, governing law) will continue to apply.

14. Changes to these terms

We may update these terms from time to time. If a change is material, we'll notify you by email or in-app before it takes effect. The "Last updated" date at the top tells you when the latest version came into force. Continuing to use the service after a change means you accept the new terms.

15. General

  • Entire agreement. These terms (plus the privacy policy and any signed order form) are the entire agreement between us about the service.
  • Severability. If a court finds part of these terms unenforceable, the rest still applies.
  • No waiver. If we don't enforce a right immediately, that doesn't mean we've given it up.
  • Assignment. You can't transfer your rights under these terms without our written consent. We may transfer ours (e.g. to a successor company) — we'll tell you if we do.
  • Third-party rights. No one other than you and us has rights under these terms (the Contracts (Rights of Third Parties) Act 1999 is excluded).

16. Governing law and disputes

These terms and any dispute arising from them are governed by the law of England and Wales. You and we agree to the exclusive jurisdiction of the courts of England and Wales, except that consumers may also bring proceedings in their local courts where the law requires.

If you have a complaint, please contact us first — we'd much rather sort it out directly.
